Privacy policy

Who we are
DirtFleet.app (“DirtFleet”, “we”, “us”) provides fleet maintenance and intelligence software. DirtFleet.app is a DBA of Aviat Group, LLC. Contact: support@dirtfleet.app.
Data we may process
- Account and organization identifiers (fleet name, seats).
- Asset records: VINs, equipment serials, engine hours, mileage, maintenance logs, costs, and telematics-derived signals you connect.
- Media you submit for diagnosis (photos, voice transcripts) when you use capture features.
- Technical diagnostics: IP address, device/browser type, timestamps.
Lawful bases & usage
We process data to perform our contract with you (provide the product), for legitimate interests that are not overridden by your rights (for example security, abuse prevention, and service reliability), and where required to comply with law. We do not sell personal information. Optional GPS on hour logs, camera captures, and OCR flows only run when your organization's policies and the in-app controls allow them.
How we use data
To operate the service, secure accounts, run AI-assisted workflows you enable, generate reminders and dashboards, comply with law, and improve reliability (including aggregated or de-identified analytics where permitted). Usage is proportional to providing DirtFleet — we do not use fleet operational data to train public models unless a future product feature is explicitly opt-in and documented separately.
Sharing
We use subprocessors (e.g. hosting, database, AI inference providers) under agreements appropriate to the data involved. We do not sell personal information. Integrations you turn on (telematics, accounting) share data according to your configuration and those vendors’ terms.
Retention & security
We retain operational data as long as your subscription is active and for a reasonable wind-down period afterward unless law requires otherwise. We apply industry-standard safeguards; no method of transmission or storage is 100% secure.
Exports & deletion
- Organization export: org administrators can download a full JSON archive and a tabular CSV from Settings (hours, assets, flags, repairs, members). Photo bytes are referenced by id; download them while you still have access if you need offline copies.
- Printable PDF-style record: org admins can open the printable summary in Settings and use the browser's Print → Save as PDF for a human-readable snapshot (the JSON/CSV files remain the complete machine-readable record).
- Delete the fleet / org: an org admin can permanently delete the organization — this removes fleet data from DirtFleet for that tenant according to database cascades.
- Delete your login: after you leave every organization, you can delete your personal DirtFleet account from /settings/account and download a personal JSON export first. Hour logs you authored stay with the fleet until the org is deleted; your user link on those logs is cleared when your account is removed.

Your choices
In-product exports and account tools are the fastest path. Where the law gives you additional rights, contact support — we respond subject to verifying your identity and any conflicting legal retention duties (for example tax or fraud-prevention holds).
International transfers
Infrastructure and subprocessors may reside in the United States or other regions. Enterprise customers may request data residency commitments where available.
